We are seeking a part time
Mediation Assistant (Hybrid position) to support the daily operations of a growing mediation practice. The ideal candidate is detail-oriented, organized, and comfortable managing both administrative and client-facing tasks.
Pay rate: $20-23.00/hr. Position will start out at 10 hours per week and hours may grow in future.
Responsibilities include but are not limited to:
- Client Intake & Case Management
- Send intake packets, service agreements, and related forms to potential mediation clients.
- Track receipt of signed documents and follow up as needed.
- Input client information, case details, and mediator notes into Excel spreadsheets or case management software.
- Maintain organized client files (digital and/or physical).
- Reporting & Data Management
- Collect, organize, and input data for quarterly and annual reports.
- Ensure accuracy and completeness of case records for compliance and reporting purposes.
- Scheduling & Calendar Management
- Manage calendar, schedule client sessions, and send reminders.
- Coordinate availability with mediators, clients, and other parties.
- Communications & Outreach
- Monitor email and phone inquiries, providing professional and timely responses.
- Assist with website updates and ensure social media pages are functioning properly.
- Support outreach activities, including posting announcements and distributing materials.
- Administrative Support
- Prepare mediation-related correspondence and notices.
- Ensure efficient office workflows and identify areas for process improvement.
Qualifications
- Strong organizational skills with attention to detail.
- Proficiency with Microsoft Excel and case management platforms (training provided if needed).
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Comfortable with technology, including website and social media management.
- Experience in administrative support, legal services, or mediation/ADR settings preferred but not required.
Preferred Skills
- Familiarity with landlord–tenant or employment and divorce disputes.
- Bilingual (English/Spanish, Cantonese, or other languages) a plus.
- Prior experience working in mediation, law, or community-based programs.
